Ravenna Software, Inc. implements a comprehensive data storage system that prioritizes security, accessibility, and efficiency across all business operations. All company data must be stored on approved company systems, including designated cloud storage platforms. Personal storage devices, unauthorized cloud services, and non-approved storage locations are strictly prohibited for company data storage. Critical business data must be encrypted both at rest and in transit using industry-standard encryption protocols, with encryption keys managed through our secure key management system.
Data access is controlled through a role-based access control (RBAC) system, with permissions granted on a need-to-know basis and regularly audited for compliance. Data deletion request procedure
Our data deletion procedure follows a rigorous, audited process to ensure compliance with privacy regulations and data protection standards. Upon receiving a data deletion request, we first verify the requestor's identity and their right to make the deletion request. Once verified, we conduct a comprehensive scan across all our systems, including primary databases, backup systems, and archived storage, to locate all instances of the relevant data. The data is then marked for deletion and moves through a two-phase deletion process: first, a soft deletion where the data is quarantined and made inaccessible for 30 days (allowing for potential recovery if needed), followed by permanent secure deletion using industry-standard data sanitization methods. Throughout this process, we maintain detailed logs of all deletion activities and provide confirmation to the requestor once the deletion is complete, while ensuring compliance with any legal holds or regulatory retention requirements that may apply to the specific data in question.
